A checkbook register template helps you record every check, deposit, card payment and transfer so you always know how much money is really in your account. On this page you can download three free checkbook register templates in Excel: a full checkbook register with a running balance and a cleared column, a simple check register for quick everyday use, and a bank reconciliation sheet that matches your register with your bank statement.
Each file is a real, editable .xlsx spreadsheet made for this page. Type the date, description and amount of each transaction, and the formulas keep a running balance, total your deposits and payments, and show your cleared balance. The reconciliation sheet shows a difference of zero when your records and the bank agree.

What Is a Checkbook Register?
A checkbook register, also called a check register or transaction register, is a simple log of all the money going into and out of a bank account. Traditionally it was a small paper booklet kept with a checkbook. Today many people keep it in a spreadsheet, because the balance is calculated automatically and the file is easy to search, sort and back up.
Even if you mostly pay by card or online, a register is useful. Bank apps can take days to show some payments, and checks may not clear for a week or more. By recording every transaction as it happens, you see your real available balance and avoid overdraft fees, bounced payments and surprises at the end of the month.

The three Excel files below cover detailed record keeping, quick everyday tracking and monthly reconciliation.
Checkbook Register
The full register has columns for date, check number, description, payment, deposit, a cleared mark (✓) and the running balance, with the opening balance at the top. Summary cells at the bottom show the current balance and the cleared balance. In the sample data the current balance is 3,137.85 and the cleared balance is 3,350.00, so you can see at a glance how much is still waiting to clear.

Simple Check Register
The simple check register keeps only the essentials: date, description, amount in, amount out and balance. It prints neatly on one page, so you can also keep a paper copy in your wallet or desk and copy the entries into the spreadsheet later. It is a good choice for a joint household account, a student account or a small club.

Bank Reconciliation Sheet
The bank reconciliation sheet compares the ending balance on your bank statement with the balance in your register. Add deposits not yet on the statement and subtract checks and payments not yet cleared to get the adjusted bank balance. Compare it with your register balance: when both match, the difference cell shows zero. The sample sheet is fully reconciled.

What to Record in a Check Register
Record every movement of money in the account, not only paper checks:
- Checks you write, with the check number
- Debit card purchases and ATM withdrawals
- Online bill payments and automatic debits
- Transfers to and from other accounts
- Deposits, including salary, cash and mobile check deposits
- Bank fees, interest and any corrections
For each entry write the date, a short description and the amount. If you like, insert an extra column for a category such as groceries, rent, utilities or fuel. Categories make it easy to see where your money goes and to build a budget later.
How to Use the Checkbook Register Template
- Enter your opening balance, taken from your bank statement or app on the start date.
- Add each transaction on a new row as soon as it happens. Put payments in the payment column and deposits in the deposit column.
- Let the running balance column update automatically. Never type over the formulas.
- When a transaction appears on your bank statement or in your bank app, mark it as cleared.
- Check the cleared balance against the bank’s balance. They should match if you have recorded everything.
- Once a month, complete the bank reconciliation sheet.
- Start a new sheet each month or year, carrying the closing balance forward as the next opening balance.
How to Balance a Checkbook
Balancing a checkbook means making sure your register agrees with the bank. It is also called reconciling your account. Follow these steps with the reconciliation sheet:
- Enter the ending balance shown on your bank statement.
- List deposits you have recorded that do not yet appear on the statement. These are deposits in transit.
- List checks and payments you have recorded that have not yet cleared. These are outstanding items.
- Adjusted bank balance = statement balance + deposits in transit − outstanding items.
- Enter the balance from your register. First record in the register any interest or fees that appear on the statement but are missing from your records.
- Compare the adjusted bank balance with the register balance. If the difference is zero, your account is balanced.
If there is a difference, look for a missing transaction, a payment entered as a deposit, an amount typed with two digits swapped, or a transaction recorded twice.
Benefits of Keeping a Check Register
- Know your real balance. Your register includes payments that have not cleared yet.
- Avoid overdraft fees. You can see when money is getting low before the bank does.
- Catch errors and fraud. Regular reconciling helps you spot unknown charges quickly.
- Track spending. An optional category column shows how much goes on bills, food, travel and fun.
- Keep records. A dated history is useful for taxes, expense claims and disputes.
Tips for Using a Checkbook Register
- Record transactions the same day, while you still have the receipt.
- Keep receipts until the transaction is cleared and reconciled.
- Write down automatic payments in advance so they never surprise you.
- Reconcile every month as soon as the statement arrives.
- Use one register per account, including savings and business accounts.
- Back up your spreadsheet to cloud storage or a USB drive.
- Add a category column to compare your spending with your monthly budget.
Checkbook Register for Small Businesses
Freelancers and small business owners can use the register as a simple cash book. Add columns for invoice or receipt numbers and categories, and use categories that match your tax return, such as supplies, travel, software and advertising. At the end of the year, filter by category to total your business expenses. Keep business and personal accounts separate, with a separate register for each.
Common Checkbook Register Mistakes
- Forgetting small purchases. Coffee, parking and app subscriptions add up quickly. Record them all, even if the amount is small.
- Skipping automatic payments. Direct debits for phone, insurance and streaming services leave the account without any action from you, so they are easy to miss.
- Entering deposits before they are available. Some deposits are held for a few days. Mark them as cleared only when the bank releases the money.
- Not voiding cancelled checks. If you tear up a check, write it in the register as void with a zero amount so the check numbers stay in order.
- Typing over formulas. Only type in the input columns. If you break the running balance, copy the formula down again from the row above.
Paper Register or Spreadsheet?
A paper register is easy to carry and works without a device, but every balance must be worked out by hand and mistakes carry forward. A spreadsheet register does the maths for you, is easy to correct and can be sorted by date, payee or category. Many people use both: they print the simple check register to carry, then copy the entries into the Excel file once a week.

Frequently Asked Questions
What is a checkbook register?
It is a log of every check, card payment, transfer and deposit in a bank account, with a running balance that shows how much money is available.
Do I still need a check register if I use online banking?
It helps. Bank apps do not show checks or payments until they clear, so a register gives you a more accurate available balance.
How often should I balance my checkbook?
Reconcile at least once a month when your statement arrives, and check your cleared balance against your bank app every week.
What does cleared mean in a check register?
A transaction is cleared when the bank has processed it and it appears on your statement or in your bank app.
What if my register does not match the bank?
Look for missing entries, unrecorded fees or interest, amounts typed incorrectly and transactions entered twice. The reconciliation sheet helps you find the difference.
Can I use the templates in Google Sheets?
Yes. Upload the .xlsx files to Google Drive and open them with Google Sheets. The running balance formulas keep working.
